# Files Overview

> Upload files and folders, preview them, organize them, and restore what was deleted

**Files** is the workspace's shared file storage: the documents, spreadsheets, exports
and images your team works with, plus everything agents and apps produce. Files feed
the rest of the platform: they become [Data](/data/overview) sources and
[Context](/context/overview) sources, and agents and apps read them while they work.

Open **Files** from the navigation rail. The panel beside the file list also lists the
workspace's knowledge bases.

## Where files live

The page has three tabs:

| Tab | Contents | Who sees it |
| - | - | - |
| **Workspace** | Shared files and folders you upload | Every member of the workspace |
| **Personal** | Your own files | Only you |
| **Outputs** | Files that agents and apps produced, in a folder per agent (and per app) | Every member; read-only |

<Note>
  On on-prem deployments with workspace storage, an Admin can add a host directory (for
  example an SMB or NFS share) as a read-only folder on the **Workspace** tab with
  **External source**. Its files can be previewed and downloaded but not changed.
</Note>

## Upload

* Click **Upload** to add files to the current folder, or **Upload folder** to add a
  whole folder with its structure.
* Or drag files and folders onto the list (**Drop files or folders to upload**).

Each file can be up to **100 MiB** by default; a deployment administrator can change the
limit in the admin settings. An upload with the same name as an existing file replaces
it, and the old file is kept in **Recently deleted** when the workspace keeps a trash.
Names cannot be `.keep` or contain `..`.

Admins, Builders and Operators can upload and change files on the **Workspace** and
**Personal** tabs. Viewers can browse, preview and download. Nobody uploads to
**Outputs**; agents and apps write there.

## Organize

| Task | How |
| - | - |
| Create a folder | **New folder** in the toolbar, or the folder icon on a folder row |
| Rename | The pencil icon on a row, then **Rename** |
| Move | Drag a row onto a folder row or onto a folder in the breadcrumb |
| Go to a path | Click the breadcrumb and type a path, for example `finance/2025/Q3` |
| Share a file | **Copy link to this file** in the preview. The link opens the file for members who can see it |
| Download | **Download** in the preview |

The list shows the first 1,000 files of each tab.

## Preview

Select a file to preview it beside the list.

| Type | Preview |
| - | - |
| Markdown (`.md`, `.markdown`, `.mdx`) | Rendered, with a **Preview** / **Source** toggle |
| HTML | Rendered, with a **Preview** / **Source** toggle |
| CSV, TSV | A table, with a **Preview** / **Source** toggle; large files are read page by page |
| Excel (`.xlsx`) | Sheets as tables, page by page |
| PowerPoint (`.pptx`) | Slide text and images only; layout, styling and charts are not shown |
| PDF | The document |
| Images (PNG, JPEG, GIF, WebP, BMP, ICO, SVG) | The image, with zoom |
| Text and code | Syntax-highlighted source |

Legacy `.xls` and `.ppt`, password-protected Office files and other binary files are not
previewed; download them instead.

## Delete and restore

Delete a file or folder with the trash icon on its row. When the workspace keeps a
trash, deleted files, and files replaced by an upload with the same name, go to
**Recently deleted** and stay there for 30 days by default.

<Steps>
  <Step title="Open Recently deleted">
    Click **Recently deleted** in the toolbar.
  </Step>

  <Step title="Restore">
    Click **Restore** on the entry. It goes back to where it was; if something now sits
    at that path, that item moves to **Recently deleted** in turn.
  </Step>
</Steps>

When the workspace has no trash, the delete dialog says the deletion is permanent.

<Warning>
  Agents read files as they are now: files have no versions. To give an agent a stable,
  versioned set of documents, build a [knowledge base](/context/build) from them.
</Warning>

## Export an agent's files

An **Admin** can download a storage-backed agent's own files as a ZIP from the agent's
page with **Export ZIP**. The total export size is capped (1 GiB by default; adjustable by a
deployment administrator).
